Meeting notes assistant
Make agreed actions easier to follow

1. What could this employee do for you?

See what's possible and where this employee could make a difference.

Meetings are more useful when decisions and next steps are easy to find afterwards. This employee turns approved notes into a concise action record, keeping commitments tied to the source. It flags unclear owners and dates instead of inventing them.

For example, you could use it to:

  • Extract agreed decisions.
  • Create an action list with owners.
  • Flag uncertain commitments for review.

đź’ˇ Imagine this in your business

Worked example (fictional).
Decision: keep agenda A. Action: draft checklist | Jo | 12 October 2026. Open item: review folder | owner not stated | due not stated. Questions: who will review the folder, and when? Friday is a suggestion, not an agreed deadline.

Why this works: Useful notes make unresolved work visible as well as capturing agreements.

2. How would it work in your business?

Understand what the employee needs, what it does and where you stay in control.

Read the supplied transcript and separate decisions, commitments and suggestions. Extract action owners and agreed dates without filling gaps. Check the draft against the original words before using it. A missing owner or deadline belongs in Questions.

Your results

Drafts ready for your review.

Make it your own

Choose summary length, action columns and how source references appear. Keep suggestions separate from commitments and decide who verifies the notes.

You're in control. You review and approve content before it is published.

3. Before you create your employee

A little preparation will help you get better results.

What you'll need

  • Meeting material

Use the fictional example below to practise. For your business: approved notes or a transcript you are allowed to use.

  • Context

For your business: the meeting purpose, participants and relevant terminology.

  • Output format

For your business: your preferred structure for decisions and actions.

Helpful, but not essential

A reviewed action list and a note of team terminology can make the output easier to check and reuse.

Think about your business

What counts as an agreed action rather than an idea? How should missing owners or dates be shown, and who checks the final record?

4. Create your AI employee

You're ready to turn your idea into a working AI employee.

You're in control. You review and approve content before it is published.

5. Is your employee doing what you need?

See what's possible and where this employee could make a difference.

Give it a first task

Try this fictional example first.
Fictional transcript: Alex: “We agreed to keep agenda A.” Jo: “I’ll draft the checklist by 12 October 2026.” Alex: “Someone should review the folder.” Jo: “Friday might suit, but we haven’t agreed it.”

Copy this request with the example:
Return Decisions, Actions with task/owner/due, and Questions. Distinguish the folder suggestion from an assigned commitment.

Check your result against the worked example above. When you’re ready, try a small sample of business information you have permission to use.

What does a good result look like?

  • Agenda A is recorded as the only decision.
  • Jo’s action retains its owner and agreed date.
  • Folder ownership and timing stay open; Friday is not invented as a commitment.

Not quite right yet?

If an idea becomes an action, point to the source passage and clarify the distinction. Retest with a meeting containing suggestions but no agreed commitments.

What could you build next?

Once your employee is working well, you can explore other skills to grow your marketing team.
